How Clientovo works

From “client signed” to “ready to start”

Your agency has its own portal to create templates, submit new clients and track progress. Our team runs the collection and follow-ups, reviews the completed answers and files, then emails your agency a link to the approved pack in your portal.

What happens after you sign a new client?

Your team submits the client through its portal. Here is what happens next.

1

Set up your agency portal and templates

Create your agency account and confirm your email. Your first real client onboarding is free, with no card details and no commitment. In your portal, create reusable templates with the questions, files and access details you need for each kind of client.

For example: brand guidelines, logos, project questionnaire, Google Analytics access, CMS access and key contacts.

2

Submit the new client in your portal

Enter the client’s name, company and email, choose one of your templates and add any extra instructions. The request goes straight to our team for review.

3

We start the onboarding

Our team starts the job and the client receives their private onboarding link by email. They use it to provide the information and files in your template.

4

You see progress in your portal

Your agency can see its requests and onboarding progress. Our team checks what the client has provided and keeps track of anything still outstanding.

5

We follow up with the client

Our team chases missing information so your account manager does not have to keep sending follow-up emails.

6

We review and hand over the pack

When the client has provided the required information, our team reviews the answers and files and follows up on anything that needs correcting. Once approved, we email your agency a link to the finished pack in its portal. Reaching 100% does not send the pack automatically.

Inside your portal

Submitting a client is straightforward

This is an example of the information your agency enters. It is a preview, not a working form.

Before and after Clientovo

The point isn’t that the client journey gets shorter. The point is that far less of that journey needs your team’s time and attention.

Before Clientovo: your team handles the admin

From client signed to work begins, your team’s onboarding admin includes:

  • Send forms
  • Collect files
  • Check responses
  • Chase access
  • Follow up
  • Organise handover

With Clientovo: your team handles the essentials

Clientovo handles the rest. Your team’s onboarding admin is:

  1. Submit the client in your portal
  2. Receive the organised handover

Illustrative comparison. The exact amount of admin removed depends on your agency’s onboarding process.

Your agency stays in control

Clientovo isn’t trying to replace the relationship between your agency and its clients. We take care of the repetitive admin around it.

Your agency

  • Wins and closes the client
  • Decides what needs to be collected
  • Owns the client relationship
  • Delivers the actual project or service

Clientovo

  • Guides the client through onboarding
  • Collects required information and files
  • Tracks outstanding requirements
  • Follows up and organises the handover

The end result

Your team opens one organised handover, not twelve email threads

Once our team has reviewed and approved the responses, we email your agency a link to its handover in the portal. Sign in to view the completed answers and download the report and uploaded files as an organised pack. Below is an illustrative report preview.

FAQs

A few things agencies usually want to know.

How does our agency use the portal?

Your agency signs in, creates its own templates and submits each new client’s details with the right template. You can then see your requests and their progress. Our team starts the onboarding and sends the client their private link; submitting a request does not email the client immediately.

What does the free trial include?

Your new agency account gets one free onboarding credit for one real client. Create an account, confirm your email, make a template and submit that client. No card details, payment or commitment are required, and the trial does not start a paid subscription.

Does Clientovo replace our existing onboarding process?

No. You create templates for the information your team already needs. We take over the collection, tracking and follow-up work.

Do we lose control of the client relationship?

No. Your agency remains responsible for the client relationship and the work you’re delivering. Clientovo handles the onboarding admin you choose to hand over.

What can you collect from clients?

Collect written answers, website links, yes/no responses, access instructions and supported files. Uploads accept PDF, PNG, JPEG, WebP and TXT, up to 10 MB per file. For SVG, editable artwork, Word documents or video, agree an access-controlled sharing link with your agency. Grant account access through the provider’s invitation settings; never submit passwords.

What happens if a client doesn’t send something?

We keep track of the outstanding requirement and follow up with the client, rather than leaving your team to repeatedly chase it.

How often do you follow up with clients?

Our standard reminder interval is three days, measured from the latest response or reminder while required information is still missing. Our team can adjust or pause reminders for an onboarding.

What happens if a client stops responding?

After seven days without a new answer, the onboarding is flagged for our team’s attention. Outstanding items stay visible in your portal. Missing required information is not treated as complete.

How long does an onboarding take?

Timing depends on how quickly your client provides the required information and whether any answers or files need correcting. You can track progress in your portal while we manage the follow-ups and review.
